EasyTagz Terms

Who we are

Azif Mir trading as EasyTagz operates the EasyTagz service. Our contact address is 94 Dunstall Hill, Wolverhampton, WV6 0SP, United Kingdom. You can contact us at info@easytagz.co.uk.

UK consumer orders and returns

We supply UK business and consumer customers. A consumer buys wholly or mainly outside their trade, business, craft or profession. Your actual purpose determines your rights; a business name or selected option does not remove consumer rights. These consumer provisions prevail over conflicting business-only restrictions. Azif Mir trading as EasyTagz, 94 Dunstall Hill, Wolverhampton WV6 0SP, United Kingdom, is the supplier. Contact info@easytagz.co.uk. We are not VAT registered.

Physical stands and optional Pro are separate purchases. Each new standard stand includes one NFC tag. The order summary and secure payment page show the goods, quantity, price in GBP, any eligible saving and total before payment. No Pro subscription is started by buying hardware. Standard UK delivery has no additional charge in these checkout routes. Correct mistakes before paying. An unpaid order or a return from Checkout is not payment or dispatch confirmation. We accept a paid hardware order when the payment provider confirms payment and EasyTagz confirms the order. Cash sales, where separately available, are confirmed by an authorised recorded receipt. The saved order information and confirmation identify the goods and agreed delivery or handover arrangement.

Delivery and faults

We deliver without undue delay and within 30 days after order acceptance unless a different delivery period is expressly agreed before purchase. For an exchange insert, the order explains the return requirement; contact us before buying to agree a later delivery period if the exchange cannot be completed in that time. Do not send an exchange insert until you receive secure instructions. For a carrier we arrange, risk remains with us until you or your nominated recipient takes physical possession. Contact us promptly about delay; applicable rights include requiring delivery within an appropriate additional period or ending the contract in the circumstances the law provides.

Goods must be of satisfactory quality, fit for an agreed purpose and as described. Statutory remedies can include the short-term right to reject, repair or replacement and, where applicable, a price reduction or final rejection. We cover reasonable necessary return costs for faulty or misdescribed goods. Original packaging is not a condition of statutory rights. A commercial guarantee, exchange workflow or app lock does not replace your rights.

14-day consumer change-of-mind offer

For standard stands sold online or through our field sales, you may cancel from placing the order until 14 days after the day you or your nominated recipient receives it. For one order delivered in separate parts, the period runs from the last delivery as required by law. No reason is needed. This offer also applies to standard replacement inserts sold through these routes. Tell us clearly by email or post before the deadline; the optional form below may be used. Any longer statutory period or remedy continues to apply. Allocating a stand code or programming an ordinary stand is not treated as a cancellation exemption.

Return the goods without undue delay and within 14 days after telling us. The return address is the supplier address above unless we arrange another suitable route. You pay direct return postage for a change of mind; we cover necessary returns for faults, misdescription or where the law requires. We refund the goods price and any least-expensive standard outbound delivery charge. The additional cost of a premium delivery option you chose is not included. We use the original payment method unless expressly agreed otherwise, without a refund fee.

Refunds are made without undue delay and within 14 days of your cancellation notice. For goods, unless we offer collection, we may withhold until we receive the goods or evidence you sent them, whichever occurs first. A lawful deduction for loss of value may apply only for handling beyond what is needed to establish the goods' nature, characteristics and functioning where the required information was supplied. Reasonable inspection or opening packaging is not by itself a reason to refuse a return. We explain any deduction; there is no blanket restocking fee.

The self-service cancel button can lock after processing or assignment. You can still contact us to exercise this offer or any statutory cancellation/refund right. An internal lock does not end those rights. We do not publish a blanket exemption for personalised goods in this standard checkout.

Responsibility and complaints

We remain responsible for foreseeable loss caused by our breach or failure to use reasonable care and skill, subject to applicable law. We do not exclude death or personal injury caused by negligence, fraud, fraudulent misrepresentation or liability and consumer remedies that cannot lawfully be excluded. A business-only limit or court clause does not remove mandatory consumer protections or court rights where you live in the UK. Contact us with your order reference and concern, without passwords or full card details. We investigate and explain the outcome. Statutory rights, independent advice and court remedies remain available.

Customer data-processing schedule

This schedule applies where a customer is the controller, or a processor authorised by its controller, of personal data entered into EasyTagz for its venue or business. Azif Mir trading as EasyTagz acts as processor for that instructed processing. The customer is responsible for its lawful purposes, legal basis, accurate collection notices, instructions and authorised staff access. EasyTagz separately acts as controller for its own account administration, billing, necessary security and legal obligations as explained in the Privacy Notice. This schedule does not transfer every purpose to the customer or override an individual's statutory rights.

Processing details and instructions

The subject matter is the provision of the selected stand journeys, guest requests, bookings, feedback, conversations, reporting and account data services. Processing includes collection, routing, hosting, storage, organisation, retrieval, display to authorised users, instructed communications, export and erasure. Data subjects can include the customer's staff, guests, visitors, booking contacts and authorised representatives. Data can include names and contact details supplied for a request, table/room or booking references, request items/times/status, guest and staff messages, feedback, stand and location identifiers, and pseudonymous engagement/security data. Do not submit special-category data, passwords, full payment-card details or identity documents through guest comments or ordinary support email.

Processing lasts while needed to supply the contracted service and carry out valid return/deletion instructions, with necessary restricted legal records and rolling backup expiry treated separately. The customer's selected features, authorised settings and documented support instructions form its instructions. EasyTagz processes instructed data only on those instructions, including for transfers, unless applicable law requires otherwise. We inform the customer of a legal requirement before processing unless the law prohibits notice, and inform it if an instruction appears to infringe applicable data-protection law. A customer acting for another controller must have authority for its instructions.

Confidentiality and security

We limit access to authorised people who need it and are bound by confidentiality. We use proportionate technical and organisational safeguards appropriate to risk, including transport security, authenticated sessions, role and workspace access controls, protected credentials, scoped administration, incident handling, backup/recovery controls and assessment of the effectiveness of relevant measures. Customers must protect their own accounts/devices and use the available security controls. This is not a claim of a particular certification, UK-only hosting, universal end-to-end encryption or uninterrupted availability. We provide reasonable information about the safeguards on request through the support contact.

Current service providers and transfers

The customer gives general written authorisation for the current subprocessors used for instructed processing: Cloudflare, Inc. for hosting, Workers, D1 and live-delivery infrastructure; and Plus Five Five, Inc. trading as Resend for transactional email where the selected function uses it. Resend processes recipient/message data in the United States. Cloudflare's distributed processing is not a UK-only service. Stripe provides payment processing and has both processor and independent-controller roles according to the activity; its payment services are separate from venue guest-request processing.

We use applicable processor agreements and impose data-protection obligations on subprocessors as required by law. We remain responsible for the performance of their applicable processor obligations. Before authorising a new or replacement subprocessor for instructed data, we inform affected customers and give a reasonable opportunity to object on data-protection grounds. We discuss a proportionate resolution; if none is possible, we explain the affected service's termination and applicable refund arrangements. A provider list alone is not a transfer safeguard. Restricted international transfers require an applicable lawful mechanism, such as the relevant standard clauses with the UK Addendum and any necessary supplementary safeguards. Information about the applicable arrangements is available on request.

Assistance, incidents and accountability

Taking account of the processing and information available to us, we assist the customer with applicable individual-rights requests, security obligations, breach assessment/notification, impact assessments and regulator consultation. We route requests concerning instructed venue data to the relevant customer and do not disclose it to an unrelated person. We notify the customer of a personal-data breach affecting its instructed data without undue delay after becoming aware, provide available relevant information and update it as the investigation develops. This does not replace the customer's own assessment or notification duties.

We make available information reasonably needed to demonstrate compliance with this schedule and allow and contribute to required audits and inspections by the customer or its mandated auditor. Reasonable confidentiality, security and coordination arrangements must not prevent statutory oversight or a required audit. We maintain appropriate processing records. Neither a general contract limit nor an operational setting removes mandatory rights, regulator powers or liability that the law does not permit to be excluded.

Return, deletion and recovery copies

At the end of the instructed service, we return or delete instructed personal data at the customer's choice and delete existing copies unless applicable law requires retention. Owner exports provide a scoped return mechanism. Valid earlier instructions and individual-rights requests are assessed separately from ordinary workspace closure and its recovery window. Active work, future bookings and justified legal holds require assessment; a hold must have a recorded basis and review. Ending Pro alone does not instruct erasure.

Automatic workspace erasure is currently enabled; closed-request history cleanup is paused. Authorised owner administrators have a reviewed single-request erasure process for a verified controller instruction and open scoped case. It protects active/future work and holds, records the exact scope and audit evidence, and removes eligible request content in bounded steps. Contact support for the applicable instruction, scope and progress. An elapsed recovery date or a completed request is not proof of erasure. We do not treat the pause as permission to ignore a valid instruction or statutory deadline.

Temporary export access expires after one hour; expired stored copies are removed in bounded maintenance batches. Provider recovery copies are access-restricted and expire under their applicable rolling schedules. Cloudflare D1 Time Travel currently provides seven days on the account's Free plan, and up to 30 days on Paid plans. Resend states a 30-day email/log period for its standard plans and deletion of remaining customer data within 90 days after account termination, subject to its applicable agreement and independent legal obligations. Separate restricted release/incident backups are kept only for a documented necessary recovery or investigation purpose and reviewed for disposal when it ends. Necessary billing, contract and erasure-proof records are segregated and retained only for the applicable reconciliation, accounting, legal or accountability purpose. Before a backup is restored to ordinary use, applicable erasures must be reapplied using the erasure record; restoration must not silently revive erased guest content.

For an instruction, provider/safeguard information, audit or data-protection concern, contact info@easytagz.co.uk or Azif Mir trading as EasyTagz at 94 Dunstall Hill, Wolverhampton WV6 0SP, United Kingdom. Version ET-UK-DPA-2026-10-21-V1.

These terms govern use of the EasyTagz software service and physical EasyTagz stands ordered through the platform. EasyTagz serves UK business and consumer customers; applicable consumer rights are preserved. Nothing in these terms removes a statutory right or liability that cannot lawfully be excluded.

Accounts and security

Customers are responsible for keeping login and two-factor credentials secure, using accurate account information and ensuring authorised team members have appropriate access roles. EasyTagz may restrict or suspend access where security, abuse, unlawful use or unpaid billing creates a material risk.

Memberships, offers and billing

EasyTagz Free has no recurring software fee. EasyTagz Pro is an account-level subscription billed through Stripe at the price shown before checkout and covers the businesses the subscribing account owns. Where an introductory offer, canvasser code or promotion applies, the checkout shows the actual free period or discount and when standard billing begins. Offers are subject to their displayed eligibility, date and redemption rules and do not stack unless EasyTagz expressly states otherwise. Pro renews through Stripe until cancelled. Cancelling recurring Pro leaves purchased stands, routes and saved account data preserved; feature access changes at the applicable billing boundary.

Physical stands

A purchased physical stand remains the customer's hardware. Stands are purchased separately from Pro and can continue using their permanent EasyTagz redirects without a Pro subscription. Pausing a stand temporarily takes its route offline while preserving its EasyTagz identity and history. An unpaid Stripe Checkout may reserve an order temporarily while payment is open. A stand order can be cancelled in EasyTagz only while no stand has been assigned to it and EasyTagz Admin has not started Processing. Cancelling an unpaid order closes the open Checkout without charge; cancelling an eligible paid order starts a Stripe refund. Once Processing has started or any stand has been assigned, the self-service cancellation control is locked. Cancelled orders remain in account history for payment, audit and accounting records. Permanent retirement or reassignment of an assigned stand is controlled by EasyTagz administration to protect purchased hardware identities. Customers are responsible for supplying correct delivery and configuration information.

Review and Experience features

EasyTagz can record first-party ratings and Google Reviews journey clicks. A Google click is not proof that a public review was submitted or published. Customers must use review features lawfully and must not use EasyTagz to misrepresent ratings, fabricate reviews or manipulate review platforms.

Usage monitoring, notification and your choices

Normal legitimate activity is monitored to keep the service reliable. A usage-review flag or warning is not a bill or an automatic suspension. We investigate software faults, unnecessary repeat processing and abuse before proposing any commercial change. A shared internet connection does not create a shared commercial request allowance.

If you reach a displayed account warning threshold or an agreed request allowance, we notify you through your account and give you a choice to continue while usage is reviewed, reduce consumption by selecting a voluntary daily new-request cap, or discuss a separately agreed future service arrangement. A numerical included allowance or additional price applies only if it has been clearly disclosed and separately agreed before it takes effect. Accepting these terms alone does not authorise an additional usage charge.

In Account usage, the owner can set, raise or remove a voluntary daily cap. It covers successfully created new guest requests from stands across the businesses that account owns. Taps, page views, messages, duplicate submission retries and staff updates do not count as new requests. Once that chosen cap is reached, new stand requests pause until the next UTC day unless the owner changes the cap. Existing requests, saved history, conversations, instant updates, enabled sound notifications and permanent stand redirects remain available. The cap does not cap all hosting costs.

Daily app counts reset at 00:00 UTC (01:00 BST or 00:00 GMT); this does not erase history or reset a hosting provider's paid monthly billing allowance. The default review notification is not a commercial request limit. Any agreed future fee or plan change must state the allowance, counting method, period and reset time, warning process, options and effective date. We do not automatically charge overages or apply a commercial cap merely because usage is flagged. Separate proportionate security controls may target actual abusive activity.

Acceptable use

You must not attempt to bypass security, interfere with the service, access another customer's data, use EasyTagz for unlawful content or destinations, or use the platform in a way that materially harms EasyTagz, its providers or other users.

Availability and changes

We aim to keep the service available and secure, but maintenance, provider incidents and internet dependencies can affect availability. We may make proportionate technical or security changes and will communicate material membership or policy changes through the service or account contact details where appropriate.

Ending service

Customers can use the membership and account controls provided in EasyTagz. We may suspend or end service for material breach, security risk, unlawful use or non-payment, subject to applicable law and any recovery or notice process described in the product.
